Setting up your Temporary Employee Workday ProfileWorkday is our HR system. Before your start date you should log in to your Workdayaccount and enter your personal details
If you do not receive the login emails, if your login details don’t work, or if you’re struggling tocomplete the tasks then if necessary this onboarding can be completed using an AQA laptopduring your first week
Find your details before startingYou will only have one opportunity to log in and complete your Workday Profile prior toyour start date. This is because you will be sent a single-use password
There will be 5 tasks to complete
Please ensure that you have the following details ready before attempting to log in: • Your contact details • Your bank details • Your National Insurance number • Your emergency contact’s details 1 Logging InBefore your start date you will receive six emails from Workday. These will include two sepa-rate emails with your login details (one containing your username and the other your single-use temporary password)
The emails are auto-generated by the system and look like this:* Please note the URL will be slightly different in your own emails
Follow the URL in the emails to access the Workday Login Page. Select WD login
Enter your single-use username and pass- word as provided in the two separate emails from Workday
You will be asked to change your password, however, despite doing this once you have logged in once you will not be able to re-access Workday before your start date
You will need to complete all 5 onboarding tasks in one go
2 Your Dashboard and InboxOnce you have successfully logged on you will be brought to your employee dashboard
In the top right hand corner you will notice a row of iconsClick on the Inbox icon (that looks like a tray) and you shouldfind that you have four tasks awaiting you: • Enter Contact Information • Payment Election • ID Change • Enter Personal InformationIt doesn’t matter which order you complete these tasks in
3 Task 1 of 5: Entering Contact InformationFirst on the Contact Information task is Address: To enter these details first click the edit icon (which is the small pencil)
Then complete the relevant fields (those marked with an * are mandatory fields)
Once you are done, click the tick
1 2 3Next on the Contact Information task is Phone: Scroll down until you see Phone and click the “Add” button
Then complete the relevant fields (those marked with an * are mandatory fields)
Once you are done, click the tick
1 2 3 4 Lastly on the Contact Information task is Email: Scroll down until you see email and you should find it pre-filled from the details supplied in your application
If this is correct then move on, if incorrect edit it as like in previous steps
Once you are happy that the information supplied for your Contact Information is accurate andup-to-date, select “Submit” from the options at the bottom of the page:After which you will be told “Success! Event Submitted” and you can now move on to the nexttask in your Inbox
5 Task 2 of 5: Entering Payment ElectionAnother strange term, but as Workday is an American system their phrases are a littledifferent, however this section is providing your Bank Details so that AQA can pay you
For Preferred Payment Method 1. Direct Deposit should already be selected for you, do not change this
Under Account Setup1 2. Complete the mandatory fields that are marked with an * 3. For the option Account Type where it says “Checking” this is the same as UK a2 “Current Account” 4. Once you are happy that the information34You will now receive another task to review and check the information. You must submit thissecond task
6 Task 3 of 5: Entering Government IDThis refers to your National Insurance Number
You will need to select the plus under Proposed IDsYou can completed the following fields as follows: For Country you will find United Kingdom under “Frequently Used” National ID Type is “National Insurance (NI) Number” Add/Edit ID is where you enter your 9 digit National Insurance Number You don’t have to enter Issued or Expiration Dates 1 2 3Once you are happy that the information supplied for your Government ID is accurate and up-to-date, select “Submit” from the options at the bottom of the page: 7 Task 4 of 5: Entering Personal InformationYou will find that the first option Legal Name is pre-filled with the name on your application
• This should be the name on your Right to Work Documents (i.e. your passport)
You also have the option to chose a Preferred Name • For example if your Legal Name is Alexander Boris Johnson, but you go by Boris Johnson then you can make it known here; by selecting the Edit Icon
• Workday will use this name as standard for your records
The next parts of the Personal Information Task is to Change Personal Information
You will find a lot of categories listed here, the majority of which are optional for you tocomplete if you want to share this information with AQA as an employer. The only two that aremandatory fields are Gender and Date of Birth
To edit these please click the Edit Icons on Gender
Then enter the relevant information and select the Tick
Repeat for Date of Birth
Once you are happy that the information supplied for your Personal Information is accurateand up-to-date, select “Submit” from the options at the bottom of the page: 8 Task 5 of 5: Entering Emergency ContactsAfter your last “Success! Event Submitted” you will notice you have a new Inbox Item and theoption to Refresh your Inbox
The new Task that you should have in your Inbox is: • Change Emergency Contacts for Onboarding 9 There are a lot of options on this Task, however only 4 are mandatory for your PrimaryEmergency Contact. Those are: Legal Name - click the Edit Icon, complete the mandatory sub-fields, then click the tick Relationship - click the Edit Icon, chose option from drop down, then click the tick Primary Phone - click the Add button, complete mandatory sub-fields, then click the tick Primary Email - click the Add button, complete mandatory sub-fields, then click the tickOnce these fields are complete you can choice to add Alternative Emergency Contacts if youwish. To do so, select Add under this option and complete the required fields
When you are happy that the information supplied for your Emergency Contacts is accurateand up-to-date, select “Submit” from the options at the bottom of the page
Success!This is the final onboarding step and you can now exit your Workday Profile

Using your computer’s browser, navigate to the Workday Resource Center sign in page. Enter your professional email address and password credential, then click Sign In.
Log in to the Workday Community and go to Manage in the navigation menu. From there you can manage your cases, tenants, etc and if applicable, your users. How do I reset my password? On the Community sign-in page click Reset Password. Enter your professional email address and click Reset via Email. From the email, click the Reset Password link.
